Privacy Policy

This Privacy Policy explains how Webcare HQ (“Webcare HQ,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit webcarehq.com or use our website-care reporting service (the “Service”).

1. Information we collect

Account information

When you create an account, we collect your name, email address, password in hashed form, subscription status, and account preferences.

Workspace content

We store the client names, contact details, website information, task notes, screenshots, branding assets, recommendations, and reports that you choose to add to your workspace. You are responsible for having permission to upload and process this content.

Billing information

Dodo Payments acts as our merchant of record and processes checkout, taxes, invoices, subscriptions, and refunds. We receive transaction and subscription identifiers, product details, payment status, and limited customer information needed to provide support. We do not receive or store your full payment-card number.

Technical information

We may process IP address, browser and device details, timestamps, request logs, and essential session-cookie data to operate, secure, troubleshoot, and improve the Service. We do not use third-party advertising cookies.

Where applicable law requires a legal basis, we process information to perform our contract with you, pursue legitimate interests such as security and product improvement, comply with law, and obtain consent where required. You may withdraw consent without affecting earlier lawful processing.

We share information only as needed with service providers that help operate the Service, including Cloudflare for hosting, storage, networking, security, and user-requested AI inference, and Dodo Payments for payment processing and merchant-of-record services. We may also disclose information if legally required, to protect rights and safety, during a business reorganization, or with your direction. We do not sell personal information.

Our providers may process information in countries other than yours. Where required, we use recognized safeguards for international transfers and rely on our providers’ contractual and security commitments.

6. Retention and deletion

We keep account and workspace information while your account is active and for a reasonable period afterward to provide recovery, resolve disputes, prevent fraud, and meet tax or legal requirements. Backup copies may persist for a limited period before deletion. You may request account deletion by contacting us; some billing records must be retained by us or Dodo Payments where law requires.

7. Security

We use reasonable administrative, technical, and organizational measures, including encrypted connections, access controls, isolated user accounts, and managed cloud infrastructure. No online service can guarantee absolute security, so please use a unique password and protect your login credentials.

8. Your rights

Depending on your location, you may ask to access, correct, export, restrict, object to, or delete personal information, or withdraw consent. You may also complain to your local data-protection authority. To submit a request, email support@webcarehq.com. We may verify your identity before completing a request.

9. Children

The Service is intended for business users aged 18 or older and is not directed to children. We do not knowingly collect personal information from children.

10. Changes

We may update this policy as the Service or applicable requirements change. We will publish the revised version here and update its effective date. Material changes may also be communicated in the Service or by email.
